A training flight needs a tail and a CFI at the same hour. Resyrv treats them as one booking and validates both. If either is already committed, the reservation is rejected with the conflict named, not saved and sorted out later.

Instructor availability windows and time off

Each CFI publishes the days and hours they are bookable, plus dated time off. Students only see slots inside those windows. When an instructor blocks a week for vacation, it disappears from student-facing availability the moment they save it.

Currency gates that stop the booking, not the flight

Medical expiry, flight review, 90-day currency, IPC, and renter insurance are tracked per student. When a required item lapses, booking is blocked at the moment of the attempt. Reminder emails fire on your chosen lead days (30 and 7 by default) so the student fixes it before it bites.

Cancellation watch that refills the slot

Students subscribe to the aircraft they need. When a reservation cancels, everyone watching that tail is emailed, filtered by the days and times they said they are free and any date range they are targeting. First to book takes it. A canceled Saturday morning does not sit empty because nobody found out.

Booking rules per member tier

Set how far ahead each tier can book, the longest single reservation they can hold, and which aircraft they can access. A pre-solo student, a certificated renter, and a staff CFI can all have different limits. Rules run server-side when the reservation is created.

The lesson rides on the reservation

Attach a syllabus lesson to a booking so the instructor lands in the right grading record afterward instead of hunting for it. Each reservation also links a weather briefing for the departure airport at the scheduled time, and the calendar renders in the location's own timezone for schools operating across more than one field.

What flight school scheduling software has to get right

A flight school schedule is harder than a club schedule because every dual flight has two scarce resources and a third thing that can quietly make it illegal. The airplane has to be free, the instructor has to be free, and the student has to be current. Software that checks one of the three is a calendar. Software that checks all three before the slot is saved is what a school actually needs.

Use these six criteria to evaluate any scheduling product, ours included. Each one maps to a moment that costs a school money when it goes wrong.

  1. The instructor is half the reservation

    A dual booking that only reserves the airplane produces a student on the ramp with nobody to fly with. The reservation should name the CFI, check that they are free, and refuse to save if they are not.   2. Currency is checked before the slot is saved

  4. A canceled lesson refills itself

    Weather and life cancel a lot of training flights. The slot should go straight to whoever is watching that aircraft and said they were free at that hour, not sit empty because the only person who knew was the one who canceled. Resyrv emails the watch list, filtered by the days and times each student gave, and the first to book takes it.

  5. Dispatch and the schedule agree

    The schedule should know what dispatch knows. An airplane grounded for a squawk or an overdue inspection should disappear from student-facing availability immediately, and a flight that has not been returned should not let the next one dispatch on top of it.     A syllabus lesson attached to the booking means the instructor lands in the right grading record afterward instead of hunting for it. When those three live in three products, someone at the school spends their afternoons making them agree.

Can a student book an aircraft without an instructor?

Yes, if your rules allow it. Solo and rental bookings do not require a CFI. Dual flights book the aircraft and the instructor together, and both have to be free.

What stops a student from booking when their medical has expired?

The currency check runs when the reservation is created. An expired medical, flight review, or renter insurance blocks the booking outright. Which items are required is configurable, so a school that does not track renter insurance can turn that one off.

How do instructors publish their availability?

Each CFI sets recurring windows by day of week and time of day, then adds dated time off on top. Students see only the intersection of instructor availability, aircraft availability, and their own booking limits.

What happens to a slot when someone cancels?

Everyone watching that aircraft gets an email, narrowed to the days, times, and date ranges they said they wanted. Whoever books first gets it. You can also apply late-cancel and no-show rules with optional fees.

Does the schedule sync to Google Calendar?

Yes. Reservations push to a member's personal calendar over iCal and Google Calendar, and changes made there sync back.

Can we run more than one location?

Yes. Each location carries its own timezone and the calendar renders in local time for that field, so a school with bases in two timezones is not doing mental math on every booking.

How is flight school scheduling software different from a shared calendar?

A shared calendar will happily let a student book an airplane with no instructor, an instructor who is on vacation, or a medical that expired last month. Scheduling software built for a school checks all three before the reservation exists, and it connects the booking to dispatch, the meter readings, the lesson record, and the invoice. The calendar is the same shape. Everything behind it is different.

Can students book from their phone?

Yes. The schedule works in a phone browser and in the native iOS app, so a student can find a slot, book it, and see the weather for the departure airport without calling the front desk.
