How to choose flight school management software
The category is crowded and every vendor can put a check mark next to scheduling, billing, training records, and maintenance. The check marks mean different things. One product's maintenance tracking is a date field. Another's refuses to dispatch the airplane. Buying on the feature grid is how schools end up with three systems and a spreadsheet stitching them together.
These are the six questions that separate flight school management software from a scheduler with extras.
Can it stop a flight?
Ask the vendor to ground an airplane during the demo, then book it and dispatch it. Then expire a student's medical and try again. A warning banner is not the same as a refusal. Resyrv blocks the booking at the attempt and removes a grounded aircraft from the calendar until someone with authority returns it to service.
Is the instructor part of the schedule or a note on it?
A dual flight has two scarce resources. The software should book both as one reservation, honor each CFI's published availability and time off, and refuse the slot if either is committed. If instructors are managed by text message, the front desk is the scheduling software.
How does a flight become an invoice?
The flight should post to the student's ledger when the lesson completes, with aircraft time, instruction, and any fuel or fees as separate lines the student can read. If someone at the school turns a paper sheet into an invoice on Friday, that is a billing process, not billing software. Where do the training records live?

What should flight school management software include?

How long does it take to switch from our current system?
