Managing Autopay

As an admin, you can see who is enrolled, what Resyrv will charge soon, and what failed. You can also set how long invoices wait before the charge runs.

Members enroll themselves

Autopay is the decision of the member. A member saves a card or bank account and ticks Enable auto-pay in the Auto-pay panel of their own billing settings. Intentionally, there is no admin switch to turn it on for them.

The Auto-pay panel under Billing, then Payments, shows how many members are enrolled and how many have a saved payment method. Then it lists each member with their saved method (or No payment method). Unenrolled members are first. Enrolled members show Auto-pay on. For all other members, a Request enrollment button sends an email with an invitation to enroll.

Admins can use Turn off to stop the autopay of a member. They can do this if a card dispute is starting, or if the member asked the office to stop it. Resyrv sends the member an email when this occurs and records the action in the audit log.

The review window

Under Settings, then Invoicing, set a review window of up to 30 days. Invoices to autopay members wait for that number of days before the charge runs. The invoice email tells the member the exact date and the card that Resyrv will use. If you set zero days, charges run immediately.

How to monitor the queue

The same Auto-pay panel shows charges in the queue that wait for the review window. It also shows charges that Resyrv retries after a failure, and members with no more retries who need action from a person. Failed charges retry on a spaced schedule during the next week. Each time, Resyrv sends a failure email to the member.

What autopay charges

Autopay charges only invoiced amounts, and only for members who enrolled. If many charges are on the ledger with no invoice, examine what the next invoice sweep will make before members enroll. The backlog becomes the first automatic charge.
