Logging Flights with Hobbs and Tach

When you log a flight, the reservation becomes a real, billable event. You record the meters. Resyrv does the calculation and the billing.

What a flight record contains

A flight record is for one aircraft on one date, with its meter readings. Enter the start and end readings for the meters that your aircraft uses:

• Hobbs start and end - most groups bill from this reading.
• Tach start and end - for an aircraft that bills on tach time. Twins that track each engine have a second tach.
• The pilot who flew - the default is you. You can add an optional second pilot if two pilots shared the seat.

The end reading must be more than the start reading. Thus Resyrv rejects a typo that makes a negative or zero-hour flight, before it gets to the ledger.

Who can log

The flights permission controls who can log a flight. Owners, admins, managers, staff, and instructors can use the Flights area. Not every member can use it. In that area, the create and edit actions have separate controls. Thus you can let a person read the flight log, but not post new flights.

From flight to charge

When you save a flight, Resyrv calculates the billable time from the meter that the aircraft bills on. Then Resyrv posts the hourly charge to the ledger of the pilot, at the rate of that aircraft. Step 2 of Log a flight, Billing review, shows these charges before you log the flight.

On a dry-rate aircraft, the hourly charge is for the aircraft only. Fuel is a separate reimbursement. On a wet-rate aircraft, the hourly price includes fuel.

Backdated and non-billable flights

The start reading of a backdated flight can be different from the current meters of the aircraft. If so, Resyrv asks you to confirm the difference. It does not refuse the flight. The meters of the aircraft only move forward, so an old entry never moves them back.

On the Billing review step, tick Don’t bill this flight to record the flight without charges. Use this for historical records, comp flights, and other flights that must be in the log but not on a ledger.

Add to my logbook is ticked by default. It makes a draft entry in the logbook of the pilot, which you then review and confirm. Untick it if you log the flight of a different person, or history that is already in your logbook.

How to correct a flight

After you save a flight, you can still edit the details that are not financial: the date, route, pilot, second pilot, notes, and oil. The meter and fuel values lock when you save the flight. This is also true for a flight that skipped billing. They lock because the ledger behind these values is append-only, and it never changes financial history.

To correct a wrong meter entry:

1. Delete the flight.
2. Log the flight again with the correct readings.
3. Confirm the meter difference when Resyrv asks.
4. If the charge must not post two times, skip billing.

When you delete a flight, Resyrv removes it from the aircraft log and syncs the Hobbs again. But the charges that the flight posted stay on the ledger as history. To correct the money, make a ledger adjustment. Fixing Billing Mistakes tells you how.
