Schedule Builder for Flight Training

To fill a training week manually, you must compare the position of each student with the availability of each instructor and all aircraft. The Schedule Builder proposes the lessons that fit. You examine them, and one click books the lessons that you keep.

The builder has its own page. To open it, click Schedule builder under Schedule in the sidebar. The lessons that the builder proposes do not exist until you commit them.

What the builder uses

The builder uses data that Resyrv already has:

• The position of each student in the curriculum of their program, and the next lesson.
• The pace of each student, which sets the student that the builder serves first. Pace comes from the same forecast as the Pace column on Students.
• The availability windows, time off, and existing bookings of each instructor.
• Student availability windows - the same weekly windows that cancellation notices use. If a student has no windows, the builder uses all times as available.
• The aircraft that are free, and the aircraft that a lesson can use.

Build a week

Select the location. Set the date range. The default is the next seven days. If you want, select one program to limit the build. Then click Build.

The builder goes through the range in steps of 30 minutes, inside your operating hours and the days that you teach. It uses the local time of that location. It puts the next lessons of each student in curriculum sequence.

The builder fills to pace. For example, a student who needs three lessons this week to stay on track gets three proposed lessons. A student who is already booked ahead gets fewer. No student gets more than the per-day limit and the per-run limit in your settings. Lessons never go past a stage check that the student did not pass yet, but the builder can propose the check.

Read the proposal

The list shows students in the sequence that the builder served them. Students that the forecast shows behind pace come before the other students. The row of each student has a short pace note. If a stage check comes soon, the row also shows how many lessons away the check is. Below the row are the proposed lessons: the day, the time, the instructor, and the aircraft (or Ground for a ground lesson). If a student does not have sufficient recent history for a forecast, the row shows "pace unknown".

If the builder cannot put a lesson on the schedule, the list still shows the lesson, with the reason. The reasons are: no overlap with the availability of the student, no instructor free at a usable time, no aircraft free at a usable time, or no open slot left in the range.

Above the list, a scorecard shows aircraft hours and instructor hours across the range. It shows the hours now, and the hours if you commit all lessons.

Make changes before you commit

Clear the checkbox of a row that you do not want. This changes nothing else. If you drag a student to a different position, the builder calculates the build again in your sequence. The reason is that a student that you move up changes the slots that are available for all students below. The builder books nothing until you commit.

Commit the bookings

Commit books the rows that have a tick. First, Resyrv checks each row again against the live calendar. Some minutes can have passed since the build, and another person can have taken a slot. Each row then shows booked, or refused with a reason. Resyrv books the lessons that fit, and you can see which rows to run again.

Committed lessons are real training bookings, the same as bookings that you make manually. They hold their slot, and they have the program and lesson of the student. After the flight, they show in Records for a training record.

Student confirmation emails

By default, Resyrv asks students to confirm. Each student gets an email with their lesson, time, instructor, and aircraft. The email has a link to a page in the app with the same details and a Confirm button. Until the student confirms, the booking has a "not confirmed" badge on the schedule. Thus your staff can quickly see the bookings that are not confirmed. If a student cannot come, they use the usual cancel or reschedule procedure from the same page.

You can disable confirmation fully. Then bookings commit as usual confirmed lessons, with no badge and no confirm link. Students still get the email for information, so that no student gets a lesson that they do not know about.

If nobody confirms

You select what occurs to an unconfirmed lesson before it starts. You can keep it on the schedule with a flag. Or you can release the slot a set number of hours before the lesson starts. A release uses the usual cancellation procedure. Thus the free slot causes cancellation notices to all persons who watch that aircraft.

Builder settings

The gear on the Schedule Builder page opens Builder Settings. Builder Settings has the rules that the builder uses:

• Require student confirmation, and what occurs to a lesson that nobody confirms.
• Scheduling window - the earliest and latest times that the builder can use, and the days of the week that you teach.
• Default lesson length - for templates that do not have a length.
• Max lessons per student per day - one by default, so that the builder spreads lessons across a busy week and does not put them on one day.
• Max lessons per student per run, and the target lessons per week for the fill.
• The booking types for flight lessons and ground lessons.
• The aircraft that the builder selects from a group - see Aircraft Groups.

Each setting has a usable default value. Thus the builder works before a person opens this page.

Which aircraft the builder selects

If a lesson needs an airplane, the builder selects a free airplane at that location. If an aircraft group applies, the builder selects only from that group. A lesson can name a group, the enrollment of a student can have a fixed group, and a program can have a default group. The most specific group applies. Aircraft Groups tells you how to set up groups.

Ground lessons and online lessons use only an instructor. They use no aircraft.
