Aircraft Scheduling Basics

All members see the same calendar. When you save a reservation, Resyrv applies all the rules of your group immediately.

Calendar views

The schedule has two types of view: a dispatch timeline for one or more days, and a week grid. Use the date navigator at the top to go to a different day or to change the view. Each view keeps its own width.

• Dispatch timeline (1 and 2 day) - each aircraft has a row, and reservations are blocks across the day. You can see the open time for all of the fleet.
• Week grid (3-day and full week) - a time grid without a row for each aircraft. Use it to see a longer period when you plan further ahead.

On the timeline, the hours outside of the flying day use less space. The schedule makes the quiet overnight period smaller, so the active flying day fills your screen. You do not have to scroll past empty hours.

Which timezone the schedule uses

The schedule always shows the local time of the location, not the local time of the viewer. If you open the schedule from a hotel three timezones away, each reservation still shows the time at the field. This is also true if the clock on your laptop is wrong. The toolbar shows the name of the timezone.

The timezone comes from the location, under Locations. When you select a street address, Resyrv adds the timezone automatically. If a location does not have a timezone, admins see a link on the schedule to set it.

Filter by aircraft group

Use an aircraft group filter on the schedule to show only the aircraft that you need now. The filter works on a computer and on a phone. You make groups under Aircraft, then Groups.

Make a reservation

Click an open slot. Select the aircraft and the time window. Then save. The setup of your organization can also let you select a reservation type and, for a lesson, attach an instructor.

• Aircraft - a member reserves an aircraft to fly, solo or dual.
• Lesson - a flight or ground session with an instructor. If your organization uses structured training, a lesson can also identify the enrollment and syllabus lesson of the student. Resyrv then uses the reservation for grades and progress automatically.
• Classroom / room - a ground resource that members can book, such as a classroom or briefing room. Use it for training that is not in the air.

Hover cards and reservation details

Hover over a reservation to see a summary card with the aircraft, pilot, time, and type. You do not have to open the reservation. To edit or cancel, click the reservation to open the full view. From the full view, you can also go to a linked checkout or lesson. The full view can also show the readiness checks and an estimated bill for the reservation.

Reservation conflicts and rules

The reservation form checks your reservation against the rules while you complete the form, not after you submit it. Some conditions make the server refuse the reservation. Examples are a grounded aircraft, a time slot that the aircraft or pilot already has, a missing checkout, an instructor who is not available, and a start time in the past. For each condition, the form shows a plain reason in a red box below the aircraft field. The book button stays off until you correct all the reasons.

• Resyrv always blocks two reservations of one aircraft at the same time.
• You cannot book a grounded aircraft. When an aircraft is grounded, Resyrv tells the members who have upcoming reservations on it.
• If maintenance on an aircraft is due, or becomes due before your reservation ends, you get a warning when you book. Thus, no pilot comes to an aircraft that will soon go in for inspection. You can still save the reservation after you confirm the warning.
• Resyrv guards reservations in the past, so the flight history stays reliable.
• If the instructor for a lesson is already booked, on time off, or outside their working hours, Resyrv blocks or warns. This depends on how your organization set the availability rule.

The checks for grounded aircraft and maintenance use the same maintenance records as dispatch. Thus, the schedule and the dispatch desk always agree if an aircraft is fit to book. Owners and admins can adjust the rule for each organization or each location. For example, they can change the block for grounded aircraft to a warning.

Weather on the schedule

The schedule shows the current flight conditions for the field, in the colors that pilots know: green for VFR, blue for MVFR, red for IFR, and magenta for LIFR. Hover over the chip to see the raw METAR and the TAF. The conditions come from the airport identifier of the location, which you set under Locations.

Edit or cancel a reservation

The owner of the reservation and all users with scheduling permission can edit or cancel it from the reservation view. A canceled reservation does not show on the calendar, but it stays in the record.

If your group charges late-cancellation fees, Resyrv does not bill a qualifying cancellation automatically. Resyrv sends it to an admin review queue, where an admin approves or waives the fee.

Get a notice when a slot opens

Turn on cancellation notices for an aircraft. When someone cancels a reservation, Resyrv sends an email to all watchers whose preferences match the open slot. To adjust the match, use a limit on how far ahead to look and your recurring availability windows. You can also name specific dates, and for those dates they override all other filters. Resyrv sends notices only to members who can book the aircraft.
